You will be reporting to the Head of Projects and be responsible for the co-ordination of various engineering, pre-sales and projects resources. Your tasks will be key to ensuring the relevant teams are organised, with the relevant administration information in place, enabling colleagues to be as effective as possible. You will liaise with various internal departments to deliver the best service possible using various sources for information.


  • Project Engineering Co-ordination
    • Liaise with engineers
    • Receive resource requests from Projects team and occasionally from Sales
    • Allocate suitable resource
    • Confirm if dates are available / provide suitable dates
    • Management of ‘offline’ engineering schedule
    • Send calendar invites to engineers and projects team
    • Ensure all required information is attached to calendar invite – which needs to be supplied by projects team at time of confirming booking
    • Adding engineers details into project task tracker once booked
    • Work closely with Head of Engineering
    • Be prepared to escalate challenges to Head of Engineering
    • Ensure relationships with subcontractors are maintained and POs issued in advance for attending site
    • Co-ordinate and schedule third party resources where needed, constantly keeping on top of availability
    • Understand that driving throughput is key to our continued success
  • Service Engineering Co-ordination
    • Liaise with engineers
    • Receive resource requests from the Network Operations Centre (NOC)
    • Allocate suitable resource based on availability and skillset
    • Liaise with customer contacts to confirm room availability in line with resource availability
    • Confirm details of engineer and scheduled date to the NOC
    • Review required Preventative Maintenance Visits (PMVs), contact customers and schedule the PMV Service Engineer accordingly
    • Understand contractual SLAs (as provided by the NOC) to ensure engineers are scheduled and prioritised to meet those obligations
  • Request For Technical Assistance (RFTA) Co-ordination
    • Evaluate RFTA requests to ensure all required information has been supplied
    • If all relevant information has not been supplied, reject the RFTA request with confirmation of the rejection reasons
    • If all relevant information has been supplied, add to the RFTA tracker and align a Pre-sales resource
    • Create the governance structure as per the governance guidelines ensuring all relevant folders are available for Pre-sales then Projects resources to utilise
    • Forward the RFTA request to the relevant Pre-sales resource while advising the governance folder location
    • Advise the sales contact of the pre-sales resource aligned
  • OrderWon Co-ordination
    • Evaluate OrderWons as they are issued by the Sales team
    • Validate all required information before accepting or rejecting the OrderWon
    • If relevant information is not available, reject the OrderWon confirming the rejection reasons
    • If OrderWon is accepted, align a Project Manager or Project Co-ordinator and reply to the OrderWon email with the Acceptance and new project owner
    • Add project and all relevant details to the project WIP report for tracking purposes

To be successful in this post, we’re looking for someone that is very organised, has a great eye for detail and enjoys working efficiently. The successful candidate will need to be able to work under pressure, be able to prioritise and be able to manage multiple simultaneous tasks.
